JOB TITLE: RECEPTIONIST

HOURS OF WORK: *.5 hours per week
* Wednesdays 8am-3pm
* Thursdays 8am-3pm
* Fridays 8am-3pm
Flexible to suit reception requirements (time off in lieu will be
granted for any excess hours worked).
JOB PURPOSE:
Reception duties and to support the Facilities Function within
Carmichael Centre to deliver quality services to our customers
(Resident members and external organisations using the Centre’s
facilities).
KEY RESPONSIBILITIES:
* Greet all building users and visitors, making sure all users sign
in and out
* Operate the switchboard, transferring calls, taking messages using
the call logging system
* Manage all deliveries in and out and recording of each on the
deliveries log
* Monitor of the CCTV system and carpark in conjunction with
security staff
* Delivery of all post to all residents and postal direction users
* Promote and sell the Centre’s services to existing and
prospective customers.
* Build positive relationships with our customer base and contribute
to good account management by driving solutions for day to day
customer issues.
* Refill the photocopiers and assist users when required
* Clerical assistance such as binding, laminating etc. for all
resident members as required
* Deal with customer enquiries and queries in an efficient and
courteous manner.
* Assist with the Centre’s meeting room booking services
(promoting the service, dealing with enquiries, processing room
bookings, liaising with the Facilities Officer, Housekeeping &
Catering and dealing with any service issues that arise).
* Be aware of the day’s business both in terms of the meeting room
bookings and the room set-up & catering requirements.
* Assist with the Centre’s postal services for Resident Members.
* Seek out and deliver opportunities to provide services to new and
existing customers (e.g. mailshots, clerical/administrative support).
* Inform our customer base (existing & target) of any new or updated
services and updated price lists on a regular basis.
* Maintain and circulate regularly the Centre Staff and Resident
Members Directory.
* Flexibility in carrying out other tasks and roles to support
colleagues and assist in achieving team goals.
* Carry out other duties as required from time to time.
KEY REQUIREMENTS
* Previous reception experience essential
* Excellent interpersonal and communication skills
* Experienced in CRM, MS office & Spreadsheets
* Ability to deliver strong customer service and represent the
organisation in a positive and professional manner
